Preservation

The preservation department sustains the library’s mission to support and strengthen teaching, learning, and research, by preserving collections and the information they contain in usable and accessible formats.  Working at all times to meet national standards and best practice guidelines for preservation, preservation prolongs the life of the Library’s collections through restorative and preventative treatments, reformatting,  addressing environmental issues and disaster planning.

Our department is responsible for the care and repair of the circulating collection as well as items in special collections and archives that need minor treatment or rehousing.  We provide services in order to improve storage conditions of the collections including environmental monitoring, emergency preparedness and disaster recovery.

Treatments range from simple quick fixes to more complex procedures.  Some of our treatments include paper mends, comb binding, four-fold enclosures, pamphlet binding, encapsulation, resewing textblocks, new case construction, split board binding, board tacketing and clamshell box construction.

We work with a variety of equipment, both modern and traditional.  Much of what we do is hand-work, often employing tools borrowed from other crafts such as leather or woodworking.

In accordance with AIC Code of Ethics and Guidelines for Practice, we strive to follow best possible methods for treatment and preventative conservation.

Bibliographic Management Services

The Bibliographic Management Service division exists to support the academic and research needs of the University of Montana by acquiring, describing, maintaining and delivering quality access to library resources. Our key services are provided by the Cataloging and Metadata, Acquisitions, and Electronic Resource units. Read our Mission and vision statements (PDF).

Key Services

We perform the day-to-day tasks to maintain online access to databases, books, and journals from commercial providers.  This includes: making full-text and citation content findable in the library’s OneSearch engine, maintaining access points on the library’s databases page, and evaluating resources in terms of usage metrics and content value.  Additionally, we serve as a key contact for troubleshooting electronic resource access issues and renewing existing licenses.

We provide a variety of consultation and support services for UM students, faculty, staff, affiliate libraries, and other researchers across the state of Montana.  Examples include:

  • Cataloging consultations for describing and organizing print collections
  • Metadata consultation for digital publishing initiatives
  • Assistance with procurement and discovery of accessible media for use in classroom instruction
  • Assistance with metadata creation and loading content into the Montana Memory Project and other repositories
  • Assistance with preparation of data management and sharing plans (DMPs) required by funding bodies
  • Assistance with preparing data/data sets for deposit into a repository
  • Assistance with creating or transforming metadata for digital images, data or data sets
  • Assistance with pre-publication indexing and CIP data

We purchase and receive physical and electronic resources for the Mansfield library, as approved by area librarians and guided by the library’s collection development policy.

We also perform physical processing (adding labels and barcodes) of all physical materials received by the library and work with the Preservation Department to process items that require repackaging.

We create and maintain descriptive and authority data for physical and digital library materials housed at the Mansfield Library, the Flathead Lake Biological Station, the Payne Family Library at Missoula College, and the Herbarium. Members of the department participate in the Library of Congress’ Name Authority Cooperative Program (NACO) and Subject Authority Cooperative Program (SACO), creating new name and subject headings which highlight local Montana topics, faculty and student research.  This work makes it possible for UM students, faculty and other researchers to find and access the resources they need.
